Club Coders — Terms and Conditions

These terms apply to all bookings made with Club Coders, including our RobotCoders, DroneCoders and CarCoders sessions, and to both children's and adult classes.

Clauses marked [Children's sessions only] apply only where the participant is under 18.


1. Booking & payment

  • Places are confirmed only once payment has cleared. Spaces are limited and allocated first-come, first-served.
  • Prices are per participant, per session. Block bookings are paid upfront.
  • Sibling discounts are applied automatically at checkout where available, when siblings are booked at the same time for the same sessions. They can't be added retrospectively.
  • Bookings and payments are handled by Class4Kids. Card payments are processed by Stripe; we never see or store your card details.

2. Age & suitability

  • Sessions are grouped to be age-appropriate for the particular session. Adult sessions are clearly labelled as such and are for participants aged 18 and over.
  • We may decline a booking where a session isn't suitable for the participant's age or needs.
  • Please tell us about any additional needs, medical conditions or allergies at the point of booking so we can support you or your child properly.

3. Cancellations & refunds

  • Cancel more than 48 hours before the session start for a full refund or a free transfer to another date.
  • Sessions cancelled within 48 hours cannot be refunded. We will offer a transfer to a future session if a space is available, at our discretion.
  • No-shows are not refunded.
  • If we cancel (illness, venue issue, weather, low numbers), you'll get a full refund or a free transfer — your choice.

4. Drop-off & collection [Children's sessions only]

  • Parents are welcome to stay but do not need to remain on site. Your emergency contact must be contactable on the number given at booking and able to attend promptly if needed.
  • We can't accept responsibility for children outside advertised session times. Collection more than 15 minutes after the session ends may incur a £10 charge.

5. Behaviour & safety

  • Participants must follow staff instructions at all times.
  • We reserve the right to remove a participant from a session for unsafe or persistently disruptive behaviour, without refund. [Children's sessions only] We will always speak to the parent or carer first wherever possible.
  • Where drones are used they will be sub-250g and flown indoors in a supervised space. Full attention during safety briefings is mandatory.

6. Equipment

  • All kit is provided and remains the property of Club Coders. Builds stay with the club unless stated otherwise.
  • Deliberate or reckless damage to equipment may be charged at replacement cost.
  • Personal devices are brought at your own risk.

7. Illness

  • Please don't attend, or send a child, if unwell, or following sickness or diarrhoea within the last 48 hours.

8. Photos & media

  • Photo and video consent is asked as a separate question during registration. You may opt in or out at that point, and change your decision at any time by emailing info@clubcoders.co.uk.
  • If you withdraw consent, we will remove the images from our website and our own social media channels as soon as reasonably possible. Once material has been published we cannot control content that has been downloaded, shared or reposted by third parties, and cannot guarantee its removal from those sources.
  • If we send you photographs or video that include other participants, these are for your personal use only. You must not post, share or publish them online or on social media, as we cannot obtain consent on other people's behalf.
  • [Children's sessions only] We never tag or name children in public posts.

9. Data

  • We store your details only to run bookings, safeguarding and communications, in line with UK GDPR. We never sell your data.

10. Liability & insurance

  • Club Coders holds public liability insurance. All staff working with children are DBS-checked.
  • We're not liable for loss or damage to personal belongings.
  • Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for fraud.

11. Changes

  • We may change venue, tutor or activity content where necessary, and will notify you as soon as we can.

[Children's sessions only] By booking you confirm you hold parental responsibility for the child named and agree to these terms.

Adult bookings: By booking you confirm you are aged 18 or over and agree to these terms.
